Work schedules and holidays

Define working weeks, assign them to employees over time, and understand how HR holidays are recorded.

A work schedule describes a working week: which days are working days, the hours on each, and the break. You define schedules once, such as “9-5 Mon-Fri” or a four-day week, then assign them to employees from a start date. Holidays record non-working days for your organization or for one location.

Key concepts#

Work schedule
A named working week with a time zone and a number of weekly hours, plus a start time, end time and break for each weekday.
Schedule assignment
Puts one employee on one schedule from a start date. Assignments are kept as history rather than overwritten.
Holiday
A named non-working date, either for everyone or for one location, and optionally recurring every year.

Who can use it#

Viewing schedules and holidays needs employee.view. Creating schedules, editing their days, assigning them and adding holidays needs employee.manage. Assignments are shown on employee records, which need employee.view_sensitive to open.

Create a work schedule#

  1. Open the Work schedules tab

    Go to PeopleOrg structureWork schedules.
  2. Name it and set the hours

    At the bottom, enter a Name (for example “9-5 Mon-Fri”), an optional Timezone (UTC if left blank) and Weekly hours (required, for example 40).
  3. Click Add

    The schedule appears with its time zone and “40h/wk”.

Set the working days#

  1. Expand the schedule

    Click the schedule’s name to show its seven days.
  2. Adjust each day

    For each weekday, from Sunday to Saturday, tick the box if it’s a working day, and set its start time, end time and Break min (break length in minutes). Times use the 24-hour format, such as 09:00 and 17:30.
  3. Click Save on each day you change

    Each day row has its own Save button. A day isn’t stored until you save it.

Save every day, including the defaults

A new schedule shows Monday to Friday as 09:00–17:00 with a 30-minute break, and Saturday and Sunday as non-working. These are only suggestions on screen. Nothing is stored for a day until you click its Save button, so save each row, even ones you haven’t changed.

The weekly hours you entered when creating the schedule aren’t recalculated from the days. Keep them consistent yourself.

Assign a schedule to an employee#

  1. Open the employee record

    Go to People, click the person, and find Work schedule.
  2. Pick a schedule and start date

    Choose a Schedule… and the date it starts.
  3. Click Assign

    The assignment appears as, for example, “9-5 Mon-Fri · 1/9/2026 – present”. It gets an Active badge once its start date has arrived.

When someone changes schedule, add a new assignment from the new start date. Earlier assignments stay on the record as history.

Note

Assigning a new schedule doesn’t end the previous assignment, and the screen doesn’t let you set an end date. If the old assignment had no end date, both show as active.

Holidays#

HR holidays have a name, a date, an optional location (so offices in different countries don’t share each other’s days off) and an optional yearly repeat. There’s currently no People screen for them. Holidays can be added and listed only through the UnitX API, by someone with employee.manage.

The holidays that decide working time across UnitX, such as due dates and service-level clocks, are set on your business calendar, which does have a screen.

Limitations#

  • Schedules and holidays are recorded, not enforced. Nothing stops someone clocking in on a holiday or logging time on a non-working day.
  • Leave requests don’t use schedules or holidays to count days.
  • Schedules and assignments can’t be renamed or deleted from the screen.

FAQ#

I don’t see the Assign form on an employee record.
It appears only if you can manage employees and at least one work schedule exists.
Can a schedule cover a Sunday–Thursday week?
Yes. Tick Sunday to Thursday as working days, clear Friday and Saturday, and save each row.
