Billing and plans
Your UnitX subscription: plans and trials, checkout, changing or cancelling, invoices and receipts, plan limits, and what happens when a payment fails.
Billing is where you manage what your organization pays UnitX: your plan and trial, the invoices and receipts for your subscription, and how much of your plan’s limits you have used. It is separate from Commerce, which is what your organization charges its own customers.
What’s on the page#
Select Billing in the sidebar. The page is one column of sections:
- Status banner: shown only while you are on a trial or a payment has failed.
- Current subscription: your plan, its status and dates, or No active subscription.
- Plan limits: members, storage, API calls and automation runs against your plan’s allowance.
- Invoices: every subscription charge, with a link to its receipt.
- Plans: the available plans and the buttons to subscribe, switch or pay.
- Usage & entitlements: lookups for one usage figure or one plan capability.
Who can use it#
Permissions
plan.viewsubscription.viewsubscription.manageusage.viewplan.view.| Permission | What it allows | Default roles |
|---|---|---|
plan.view | Open Billing and see the plan list. | Owner, Admin, Member, Viewer |
subscription.view | See the current subscription and its invoices, and check a capability. | Owner, Admin, Member, Viewer |

Without subscription.manage, the plan list and your subscription are read-only.
Plans#
The Plans section lists every available plan from lowest to highest price. Each shows its name, a description when there is one, and its price with the billing interval, such as $49.00 / monthly. A plan with custom pricing shows Contact sales instead of a price. The list doesn’t show what each plan includes.
If you can manage the subscription, each plan also shows:
- Subscribe
- Shown when your organization has no subscription. Starts one on this plan straight away, beginning with the plan’s trial if it has one.
- Switch to this plan
- Shown when you already have a subscription. Moves you to this plan.
- Current plan
- A badge on the plan you are on now.
- Pay via provider
- Shown on every plan with a price. Opens a secure checkout with the payment provider, where you enter payment details.
Trials#
Subscribing to a plan that offers a trial starts the trial immediately. Trials last 14 days unless the plan sets a different length. A plan with no trial becomes active straight away.
While you are on a trial, a banner at the top of the page shows when it ends:
You are on a trial. It ends in 9 days, on Sep 25, 2026. Choose a plan below to keep everything you have set up.
- The end date is fixed when the trial starts. Switching plans doesn’t give you another trial: you keep the trial you already have and its original end date.
- If the trial ends without a paid subscription, the subscription expires. Your data isn’t deleted.
Subscribe and pay#
Choose a plan
In Plans, find the plan you want.
Select Pay via provider
A dialog titled Continue on the provider’s page explains that payment is handled entirely by the billing provider and that UnitX never sees or stores card details.
Select Open secure checkout
The provider’s checkout opens in a new tab. Enter your payment details there and complete the purchase.
Come back to Billing
When the provider confirms the payment, your subscription and the new invoice appear on the Billing page.
If checkout isn’t available
If checkout hasn’t been set up for your plan, Pay via provider shows an error message instead of the dialog. Contact UnitX support, or choose Subscribe to start on the plan without a payment step.
Change plan#
Find the new plan
Your current plan carries the Current plan badge. Pick a different plan in the list.
Select Switch to this plan
The change is immediate, with no confirmation step. A message confirms Plan changed, and the Current plan badge moves.
- Your original start date is kept, and a trial carries over unchanged.
- If your subscription is billed by the payment provider, the provider works out any mid-cycle difference. Its invoice appears under Invoices marked prorated plan change, as calculated by the provider. UnitX never calculates proration itself.
- Plan limits are re-evaluated against the new plan straight away.
Cancel your subscription#
Select Cancel subscription
The button is on the Current subscription card.
Confirm
In the Cancel subscription? dialog, select Cancel subscription again, or Keep it to back out.
Cancellation takes effect right away in UnitX
The dialog mentions keeping access until the end of the current period, but UnitX ends the subscription as soon as you confirm. The page returns to No active subscription, and you can subscribe again at any time. Your data stays where it is.
Subscription status#
The current subscription card shows the plan name, a status badge, a badge for how the subscription is billed (manual when started with Subscribe, or the payment provider’s name), the start date and, when known, the renewal date.
- trialing
- On a trial. The banner shows the end date.
- active
- Paid up and in good standing.
- past_due
- A payment failed and the grace period is running.
- paused
- Temporarily paused at the payment provider. It still counts as your current subscription.
- expired
- The trial ended without payment, or the grace period after a failed payment ran out. Paid features stop, and nothing is deleted.
- canceled
- Ended by someone in your organization.
When a payment fails#
Payment retries are handled by the payment provider. In UnitX, a failed payment follows these steps:
- Past due. The first failed payment moves the subscription to past due and starts a 14-day grace period. Nothing about your access changes yet.
- You are told. Organization Owners get a high-priority notification: A payment for your subscription did not go through. The Billing page shows a banner with the date the grace period ends.
- Retries don’t reset the clock. If the provider retries and fails again, the grace period still ends 14 days after the first failure.
- Restricted. If no payment succeeds by the end of the grace period, the subscription expires and paid features stop. Your data isn’t deleted.
- Recovered. As soon as a payment succeeds, even after restriction, the subscription is active again and every restriction is lifted.
Fix it within the grace period
Update your payment details with the payment provider as soon as you see the past-due banner. The banner reads: A payment did not go through. Nothing has changed yet, and nothing will until [date]. Update your payment details with the provider to keep your plan active.
Invoices and receipts#
The Invoices section lists every charge for your subscription, newest first. Each row shows the invoice number, the total, a status badge and a date: the payment date, or the creation date if it isn’t paid. Select Load more at the bottom for older invoices.
- View receipt opens the payment provider’s own receipt in a new tab. That receipt is the document to keep for your accounts. UnitX doesn’t make its own copy.
- Statuses are draft, open, paid, payment failed, refunded and void.
- All amounts, including tax, are exactly what the provider reported. UnitX doesn’t calculate tax itself.
- Until the first payment is taken, the section shows No invoices yet.
Plan limits and usage#
Plan limits shows each limit your plan sets, how much you have used, and a progress bar:
| Limit | How it is counted |
|---|---|
| Members | Active members right now. Removing someone frees the seat immediately. See Members and invitations. |
| Storage | The size of all stored files right now. Deleting a file frees the space. |
| API calls | Calls made during the current billing period. |
| Automation runs | Automation runs that actually executed (including ones that failed) during the current billing period. Rules whose conditions didn’t match don’t count. |
A row reads 8,412 of 10,000, or 1,204 used · no limit when the plan doesn’t cap it. The bar turns amber at 80% and red at 100%. If nothing is listed, the section shows No limits on this plan. That means your plan caps nothing, or you have no active subscription.
Limit notifications#
Organization Owners are notified once when usage of a limit reaches 80%, once at 90%, and once at 100%, for example You have used 80% of your plan’s automation runs. The 100% notification is high priority. The count starts again each billing period.
What happens at the limit#
Each plan decides what reaching a limit means. When a row reaches 100%, the page shows one of these messages:
- Blocked
- You are at the limit. Further use of this is refused until the allowance frees up or the plan changes. For example, when the plan’s storage is full, new uploads are refused until you free up space or move to a larger plan.
- Warn only
- You are over the limit. Nothing is being blocked.
- Overage
- You are over the limit. Further use is allowed and billed as overage.
- Auto-upgrade
- You are over the limit. The plan moves up automatically rather than refusing anything.
Usage & entitlements lookups#
The last section answers two specific questions. Both take a name you type, because there is no picker:
- Metric → Look up shows Total: N for the current billing period. For the plan limits, use
seats,storage_bytes,api_callsorautomation_runs. - Capability → Check shows whether your plan includes a capability: allowed, denied, or limit with used/limit figures. Without an active subscription, every capability is denied.
Why can’t I see the Subscribe or Cancel buttons?
They need subscription.manage, which only Owners and Admins have by default.
A payment failed. Have we lost access?
Not yet. You have 14 days from the first failure. Update your payment details with the provider in that time and nothing changes.
Does switching plans restart our trial?
No. The trial belongs to your organization and keeps its original end date.
Why does the receipt open on another site?
The payment provider issued it. Its receipt is the official document, so UnitX links to it rather than making a copy that could differ.
We removed a member. When does the seat come back?
Immediately. Members and storage are counted live.
