Build slide decks from project, portfolio, team or personal data, edit slides and speaker notes, export to PowerPoint or PDF, and define your own deck templates.

Presentations turn UnitX data into a slide deck. Choose a template and what the deck is about (a project, a portfolio, a team or one person) and UnitX builds a first draft with the figures filled in from your records. You then edit the slides, add speaker notes, and export the deck as PowerPoint or PDF.

Key concepts#

Template
The slides a deck starts with, in order, and what it reports on. UnitX provides five; your organization can add its own under Settings → Deck templates.
Source
The project, portfolio, team or person the deck is about. The template decides which kind you are asked for.
Slide
One page of the deck. Each slide has a type, such as Cover, Key numbers or Risks, a title, content and speaker notes.
Status
draft (no slides were generated), generated (UnitX built the slides) or published (marked final with Publish).

Build a deck#

  1. Open the dialog

    In Presentations, click New presentation. The Build a deck dialog opens.
  2. Name it

    Enter a Name such as “August review” (up to 160 characters).
  3. Choose the template first

    Pick a Template. Its description appears underneath, and the next field changes to match: Project, Portfolio, Team or Person.
  4. Choose what it’s about

    Pick the project, portfolio, team or person. Only data you can already see is used, so a deck never shows more than you could find yourself.
  5. Build it

    Click Build deck. The deck appears in the list, with a message that it is ready to review. Click it to open it.

Decks about a team or a person#

  • Portfolio decks roll up every project that has been added to the portfolio. An empty portfolio reports zero.
  • Team decks count the work assigned to the team’s members. Work in a project the team is linked to but nobody on the team is assigned to isn’t counted.
  • Employee progress about yourself needs no extra permission. About a colleague, it needs employee.view, and their goals appear only if you also have goal.view. Goals someone has marked private only ever appear on their own deck.

Edit a deck#

The slide list is on the left, numbered with each slide’s type. Click a slide to preview it on the right. With presentation.manage you can:

  • Reorder slides with the up and down arrows, duplicate a slide with the copy icon, or delete it with the bin icon.
  • Add a slide: pick a type from the menu under the list and click Add.
  • Edit this slide: change the Title (up to 200 characters) and write Speaker notes (up to 5,000 characters), then click Save slide.
  • Refresh its numbers: rebuild a generated slide from current data. Your speaker notes are kept.

Slide types are Cover, Executive summary, Key numbers, Chart, Table, Timeline, Milestones, Risks, Team, Project, Recommendations, Next steps and Closing.

Figures are a snapshot

Values are filled in when a slide is generated, so a deck stays as you left it when the project changes. Use Refresh its numbers to pick up newer figures. A refresh uses the access of the person clicking it, not the person who built the deck.

Theme and branding#

If your organization has set branding, decks use its colours, and the editor shows Using your organization’s branding. To use a preset instead, choose one from the Theme menu: UnitX, Slate, Forest or Ocean. Picking a theme applies it to that deck only. The preview shows what the export will look like.

Save a version and publish#

  • Save a version keeps a snapshot of the deck as it is now.
  • Publish marks the deck as final. Its status changes to published.

Export to PowerPoint or PDF#

Click PowerPoint or PDF at the top of the deck to download it. The file uses the deck’s theme or your branding, and the PowerPoint file includes your speaker notes.

Tip

Always export from the deck’s own buttons. The download carries your sign-in, so a copied download address won’t fetch the file for somebody else. To give people access, use sharing.

Define your own deck template#

If your board review is always the same seven slides, make it a template once. Templates are managed in SettingsDeck templates, which needs presentation_template.manage.

  1. Name and describe it

    Enter a Name, such as “Quarterly board review”, and an optional Description.
  2. Say what it reports on

    Under Reports on, choose a project, a portfolio, a team or a person. Decks built from the template will ask for that kind of source.
  3. Add slides in presenting order

    Under Slides, in order, pick a type from Add a slide… and click Add. Reorder with the arrows and remove with the bin icon. The same type can appear more than once: two tables become completed work, then remaining work. A template needs at least one slide and can have up to 60.
  4. Save it

    Click Save template. It appears under Your templates and in the Template menu for everyone in your organization.
  • Templates under Provided by UnitX are shown for reference and can’t be edited or deleted.
  • Deleting one of your templates doesn’t change decks already built from it.
  • A template can’t report on a goal or on the whole organization.
  • Each template has a key made from its name, which must be unique. If the name is taken, you’ll be asked to choose another.

FAQ#

Can I point an existing deck at a different project?
No. A deck keeps the source it was built from. Build a new deck for a different project.
Why does the goals slide say goals aren’t shown?
You can see this person’s work but not goals. That needs goal.view on your role.
The portfolio deck shows no projects.
Projects are added to a portfolio explicitly. Add them on the portfolio, then refresh the slides’ numbers.
Why is there no New presentation button?
Your role doesn’t have presentation.create.
