The state of everything

One table of every active project, calculated from recorded work, with risk, forecasts and a CSV export.

The state of everything is one table of every active project in your organization: reported progress against evidence, what’s blocked, what has gone quiet, risk and a forecast. It’s calculated from recorded work, so it’s up to date whenever you open it, and nobody has to be asked for a status update.

Who can use it#

Permissions

project.view

Anyone who can view projects can open this page. It covers every unarchived project in the organization, not just projects you belong to, and the page says so.

Note

This page is separate from Portfolios, where you group projects and roll up their budgets. The state of everything always covers all active projects.

Open it#

Go to Reality in the sidebar and select The state of everything. Select My reality at the top to go back.

Read the page#

Four totals at the top show the number of Projects, Items, Blocked items and Stale items. The table then has one row per project:

Column	What it shows
Project	The project name, which links to its project reality page. Under it: the project key, item count, and how many items haven’t been computed yet.
Reported	Progress according to item statuses.
Evidence	Progress supported by recorded data, or “No evidence”.
Gap	Reported minus evidence, in percentage points. Shows “—” when there’s no evidence figure.
Blocked	Items that can’t advance.
Stale	Items nothing has happened to within your organization’s stale window.
Risk	The risk score with the factor contributing most, such as “mostly Reported progress vs evidence”, or “Not enough to score”.
Forecast	A completion date, “Nothing outstanding” or “Insufficient history”.

For example, a row might read: Fund III Launch, 64% reported, 53% evidence, a gap of +11, 12 stale items and a risk of 19, mostly from reported progress vs evidence.

Below the table, What this table is, and what it is not explains what the table covers and lists what it can’t show, with reasons. It also says when the figures were computed and which business calendar counts working days.

Sort and filter#

Pick a sort
Most at risk (the default), Biggest gap, Most blocked, Most stale or Name.
Optionally select Only blocked
This narrows the table to projects with blocked items. Select it again to show all projects.

Unscored projects sort last

Under Most at risk, a project with no risk score goes to the bottom, not the top. No data isn’t the same as no risk, but treating it as zero would put the projects nobody knows anything about at the safe end of the list.

Export to CSV#

Select Export CSV to download the rows currently on screen as reality-portfolio-YYYY-MM-DD.csv. The file has these columns: Project, Key, Items, Items computed, Reported %, Evidence %, Gap (points), Blocked, Stale, Risk, Forecast status, Forecast end, Planned end, Critical path items and Critical path hours.

Figures UnitX couldn’t calculate are exported as empty cells, never as zeros, so someone reading the spreadsheet without seeing this page won’t mistake missing data for a real zero.

Large organizations#

If there are more projects than one summary can compute at once, a card reading This summary is not the whole organization appears above the table. The table then shows only part of the organization.

FAQ#

Can I change a project’s health or add commentary here?

No. Every figure is calculated from recorded work. To change what the table shows, change the work: finish sub-items, log time, resolve blockers.

Can I see this per person or per team?

No. Reality works only at work item, project and organization level. The only per-person view is your own list on My reality.

Where does the history come from?

Each project gets a snapshot once a day from the automatic full recompute. The history is shown on each project’s reality page.

Can I put reality on a dashboard?

Yes, as work-item-level widgets. See Reality on dashboards. There’s no project- or portfolio-level reality widget.

The page says operational reality is turned off.

An administrator has disabled Reality for your organization in Settings → Reality. Nothing is computed while it’s off.
