Business calendars

Define working days, working hours and holidays once, for the organization, a team or a person, and see which calendar applies to you.

The business calendar is UnitX’s single definition of working time: which days are working days, which hours of those days count, and which dates are holidays. Availability, capacity forecasting and support SLA clocks all read the same calendar, so a four-day week or a public holiday only has to be set once.

Key concepts#

Platform default
Monday to Friday, 09:00 to 17:00. It applies until your organization saves its own calendar, so availability, capacity and SLA clocks work from day one.
Organization calendar
The calendar everyone in the organization gets unless something more specific applies to them.
Team calendar
A calendar attached to a team. Its members get it instead of the organization’s.
Personal calendar
A calendar attached to one person, for example a part-time schedule. It wins over their team’s and the organization’s.
Holiday
A date that isn’t a working day. It is a date, not a time, so it never shifts across time zones. A recurring holiday repeats on the same month and day every year.

Who can use it#

Permissions

calendar_event.viewcalendar_event.manage_business_calendar
Anyone with calendar_event.view can see the working week that applies to them and the organization’s holidays. Changing working days and adding or removing holidays needs calendar_event.manage_business_calendar.

Where to find it#

Go to CalendarWorking days. The tab has three parts: your working week, the organization’s calendar, and its holidays.

Your working week#

Your working week shows the calendar that applies to you and where it comes from: Platform default, Organization, Team calendar or Personal calendar. Below it you see the total hours per week, the time zone, and the hours each weekday carries, for example Fri · 8h or Sat · —.

Set up your organization’s calendar#

Until someone saves one, the tab says This organization has not set its own calendar yet, so the platform default applies.

  1. Tick the working days

    Tick each day your organization works, for example Mon to Thu for a four-day week.
  2. Create the calendar

    Click Create with 9:00–17:00 on these days. Each ticked day gets 09:00 to 17:00.
  3. Adjust days later

    Tick or untick a day on the saved calendar to add or remove it. The change is saved at once. At least one working day must stay ticked.

Hours per day

On this screen, turning a day on sets its hours to 09:00–17:00. Different hours per day, such as a half-day Friday, can’t be edited here yet; the hours line under the days shows exactly what is saved.

Add holidays#

  1. Name the holiday

    Under Holidays, enter a Name, such as “New Year’s Day”.
  2. Pick the date

    Choose the Date. Tick Repeats yearly if it falls on the same date every year.
  3. Add it

    Click Add holiday. Recurring holidays show a Yearly badge. Click Remove to delete one.

Holidays attach to a saved calendar, so create the organization calendar first. Until then the tab says Create a business calendar first — holidays attach to it.

Which calendar applies to whom#

For each person, UnitX uses the most specific calendar that exists:

  1. their personal calendar, if they have one;
  2. otherwise their team’s calendar;
  3. otherwise the organization’s calendar;
  4. otherwise the platform default.
  • Working days and hours are replaced, not merged. Someone on a personal calendar doesn’t inherit a working day from the organization’s calendar that their own doesn’t list.
  • Holidays add up. A holiday on the organization’s calendar applies to everyone, including people with a team or personal calendar.
  • Two teams, two calendars: someone in two teams that both have calendars gets the older of the two, the same answer every time.
  • Removing a calendar loses nothing. People fall back to the next most specific calendar that still exists.

Team and personal calendars

The Working days tab edits the organization’s calendar. Team and personal calendars can be created through the UnitX API; once they exist, Your working week shows which one applies to you.

What uses the business calendar#

Limitations#

  • Times are read in the calendar’s time zone. Daylight-saving changes aren’t modelled per interval.
  • There is no calendar per workspace.
  • Changing the calendar changes forecasts straight away, because they’re calculated when you ask for them. Timesheets and logged time are records of what happened and aren’t recalculated.

FAQ#

Where do I see what applies to me?
Calendar → Working days → Your working week. The badge says which level it came from.
Is this the same as work schedules in People?
No. Work schedules in People describe employment arrangements. The business calendar is the working time that availability, capacity and SLA clocks calculate with.
Why can’t I tick the days?
Changing the calendar needs calendar_event.manage_business_calendar. Without it the days are shown but locked.
