Dashboards

Create dashboards of live metrics, share personal dashboards, duplicate someone else’s, and understand exactly what the numbers count.

Dashboards give you the shape of your work at a glance, without opening every board: open work, completion rates, pipeline value, hours logged, goal progress and more. A dashboard is a set of widgets, and each widget shows one metric, optionally narrowed by a filter or broken down by a dimension. Numbers are always calculated live, from the records you are allowed to see.

Where to find it#

Open Dashboards from the sidebar. The list shows every dashboard you can see, with when it was last updated, its type, and a badge that says why you can see it: Shared with you or Everyone. Your own dashboards have no extra badge. Select Load more at the bottom to see more. The Reports button opens Reports.

Key concepts#

Dashboard
A named page of widgets with an owner and a type.
Widget
One tile showing one metric, with a title and optional filters, grouping and date range.
Owner
The person who created or duplicated the dashboard. The owner can always view and edit it.
Type
personal, team, project, workspace, organization or executive. A personal dashboard is private to you until you share it; every other type can be read by everyone in the organization.

Who can use it#

Permissions

dashboard.viewdashboard.manage
dashboard.view lets you open the dashboards you can see and their data. dashboard.manage lets you create and duplicate dashboards, and add widgets, share and delete dashboards you are allowed to edit. The default Member role holds both; Viewer can only look.

Holding dashboard.manage isn’t enough to change someone else’s dashboard. You can edit a dashboard only if:

  • you own it, or
  • its owner shared it with you with Can edit.

On a dashboard you can read but not change, the page says it belongs to someone else and suggests duplicating it.

Create a dashboard#

  1. Open the dialog

    On Dashboards, select New dashboard.

  2. Name it and pick a type

    Enter a Name and choose a Type. Choose personal to keep it to yourself; any other type makes it readable by the whole organization.

  3. Create it

    Select Create dashboard. The new, empty dashboard opens. Select Add widget to start charting (see Dashboard widgets).

Types are labels

Apart from personal, the types don’t narrow who can see a dashboard. A “team” or “project” dashboard is visible to everyone in the organization with dashboard.view. Use them to describe what the dashboard is for.

Read a dashboard#

Widgets are laid out in two columns, in the order they were added. Each widget shows its title, the metric it uses and the result. If one widget’s query fails, it shows Query failed with the reason, and the rest of the dashboard still loads.

Money figures

Monetary totals, such as pipeline value, are shown as plain numbers without a currency symbol. Values are added up without currency conversion, so they are only meaningful if your organization sells in a single currency.

Share a personal dashboard#

Share appears only on personal dashboards you can edit. Other types are already visible to everyone, so there is nothing to share.

  1. Open Share

    Select Share. The “Who can see this dashboard” dialog opens and lists the people it is already shared with.

  2. Choose a person

    Under Share with, choose a member.

  3. Choose their access

    Select Can view for read-only access, or Can edit to let them add and remove widgets, share further, and delete the dashboard. They then see it in their list with a Shared with you badge.

  4. Remove access

    Select the × next to a person to take their access away.

Duplicate a dashboard#

Select Duplicate on any dashboard you can see (you need dashboard.manage). UnitX creates “Copy of …” with the same widgets, owned by you and set to personal, and opens it. This is the way to adapt a dashboard that belongs to someone else. Shares aren’t copied.

Delete a dashboard#

Select Delete, then Delete dashboard in the confirmation. The dashboard and all its widgets are removed permanently, for everyone.

What the numbers count#

Only what you can see#

Every widget is calculated at the moment you open the dashboard, limited to records you are allowed to see. Two people looking at the same dashboard can see different numbers, and both are correct. Seeing a total never lets you open the records behind it if you couldn’t otherwise.

The same rules as your boards#

Work item widgets use the same query as boards and saved views. A widget grouped by status is your board in miniature, and a count and the list behind it always agree. Archived work items are left out of both.

Duration metrics need a project#

Cycle time, lead time and sprint velocity must be limited to one project, because averaging across projects with different workflows and meanings of “done” would produce a meaningless number. A duration metric covering more than 5,000 items refuses to calculate; narrow its filter.

Limitations#

  • Widgets can’t be moved or resized on the page, and a widget’s settings can’t be edited. Remove it and add a new one instead.
  • There is no export, scheduled delivery or snapshot of a dashboard.
  • You can’t click through from a widget to the records behind it on the dashboard page.
  • There are no support ticket metrics; use the support queues screens for those.

Questions#

Why does my tile show fewer items than my colleague’s?

Each person’s numbers are limited to what they can see, so different access gives different totals.

I archived some work and the count dropped. Is that right?

Yes. Archived items are left out of dashboards and views alike.

I can see a dashboard but there is no Add widget button.

It belongs to someone else. Ask the owner to share it with you with Can edit, or select Duplicate to get your own copy.

A widget says “Query failed”.

Read the reason under the badge. Common causes are a project filter missing on a duration metric, or more than 5,000 items to measure. Remove the widget and add it again with a narrower filter.
