Calendar
See your organization’s events and dated work one week at a time, create and cancel events, and open event details.
The Calendar shows your organization’s events and dated work together, one week at a time. Create events, invite colleagues and guests, record meeting notes, check when someone is free, and see the working days and holidays that everything else in UnitX counts with.
Key concepts#
- Event
- Something scheduled at a time: a meeting, a call, a deadline review. Events have a title, start and end, optional location and description, a visibility and participants.
- Dated work item
- A work item with a start or due date in the week. It appears on the calendar automatically as a read-only, all-day entry. Change its dates on the work item itself.
- Meeting notes
- The outcome and next steps recorded against an event after it happens.
- Organizer
- The person who created the event.
Who can use the calendar#
Permissions
calendar_event.viewcalendar_event.createcalendar_event.manage_business_calendarThe calendar screen#
The Calendar has three tabs. Week is described on this page. The other two have their own pages:
Move around the week#
- Use the Previous week and Next week arrows to move a week at a time. The dates shown sit next to them.
- Click Today to jump back to the current week.
- The legend explains the two kinds of entry: Event, and Work item — a live projection of its own dates, not a calendar event, which is Read-only.
- Click an event to open its details.
If the week is empty you see Nothing scheduled. The Week tab shows every event in your organization and every work item with a start or due date that week, not only your own. The Availability tab (and the Availability and Working days settings it relies on) are covered on their own pages.
Event visibility
Create an event#
Open the dialog
Click New event.Describe it
Enter a Title (up to 255 characters). Optionally add a Location (optional), such as a room or a video link, and a Description (optional).Set the time
Choose Starts and Ends, or tick All day. The end must be after the start; otherwise the dialog says The end time must be after the start time. Times are saved in your browser’s time zone.Choose a visibility
Pick private, team or organization (the default).Create it
Click Create event. You become the organizer, and the event appears on the week.
Next, open the event to invite people. See Invite participants.
Event details#
Clicking an event opens a dialog with:
- its status (scheduled or cancelled), visibility, and an All day badge if it applies;
- the start and end time with the event’s time zone, and its location and description;
- Participants, where people are invited and answer. See Meetings and availability;
- Meeting notes, where the outcome and next steps are recorded.
Cancel an event#
Open the event and click Cancel event. Its status changes to cancelled. A cancelled event stays on the calendar with its details, notes and participants, but no longer counts as busy time. Cancelling can’t be undone from the calendar; create a new event if plans change back.
Work items on the calendar#
A work item appears on every day between its start date and due date (or on the single date it has) with a dashed outline. Nothing is copied: the entry is drawn from the work item’s own dates each time, so changing the dates on the work item moves it here. Archived work items don’t appear. To plan work visually across longer periods, use Timeline and Gantt.
Limitations#
- The calendar shows one week at a time. There is no month or day view.
- Events can’t be edited or dragged on this screen after they’re created. Cancel and recreate an event to change it.
