Logging calls, meetings and emails
Record interactions with customers, plan upcoming ones, and read an account’s whole history on one timeline.
Activities are your record of every interaction with a customer: a call, a meeting, an email, a demo, or just a note. Log what just happened, or plan something for later and mark it done when it happens. The next person to pick up the account can then read what already happened instead of asking the customer to repeat themselves.
Where activities appear#
Activities are shown as timelines, newest first, in two places:
- On an opportunity, under the Activity heading at the bottom of the deal page. It shows the activities logged against that deal.
- On a customer, under Activity across this account. This is a unified timeline: everything logged against the account itself, plus everything logged against its contacts and its deals.
The timeline loads 20 activities at a time. Select Load more at the bottom to see older ones.
Who can use it#
Permissions
crm_activity.viewcrm_activity.logcrm_activity.view shows the timelines. crm_activity.log adds the Log activity button and the Mark done and Call off actions. Without the view permission, the timeline section doesn’t appear at all.You only ever see activities about records you’re allowed to see. On a customer’s unified timeline, if your role can’t see contacts or opportunities, their activities are left out and the page says so, for example: “Deal activity is not shown — your role does not include opportunities.”
Log something that happened#
Open the deal or customer
Go to the opportunity or customer the interaction was about.Select Log activity
It’s below the timeline.Pick the Type
Choose Call, Meeting, Email, Note, Demo or Other.Describe it
Write a one-line summary in What happened (required), for example “Called about the rollout date”. Add detail in Notes if it helps.Select Log it
Leave Due (to plan it instead) empty. The activity is saved as completed and timestamped as happening now.
Plan an activity for later#
Select Log activity and fill in Type and What happened

Pick a date in Due (to plan it instead). The button changes to Plan it.Select Plan it
The activity appears on the timeline with a Planned badge and “Due” followed by the date.
Mark a planned activity done, or call it off#
Each planned activity on a timeline has two buttons:
- Mark done records that it happened, timestamped now. The Planned badge goes away.
- Call off marks it as not happening. It stays on the timeline with a Called off badge.

Limits#
- What happened can be up to 255 characters; Notes up to 10,000.
- Activities can’t be deleted. A planned activity that didn’t happen is called off instead, so the timeline still shows that it was arranged.
- The web app doesn’t have a way to edit an activity’s text after you log it.
Tips#
- Log on the most specific record. A call about a deal belongs on the opportunity. It will still show up on the customer’s unified timeline.
- Put the outcome in What happened (“Agreed to a pilot in October”), not just the kind of interaction. The type badge already says it was a call.
- Use planned activities for customer-facing commitments with a date. Internal to-dos belong in work items, which you can assign and track.
