Recruiting

Open roles, track candidates through applications, interviews and offers, and hire the successful candidate into an employee record.

Recruiting tracks hiring from a job opening to a new employee. You open roles, add candidates, connect them to openings with applications, schedule interviews and collect interviewers’ feedback, record offers, and then hire the successful candidate straight into an employee record.

Key concepts#

Job opening
A role you’re hiring for, with a title, optional department, position, hiring manager, location type and salary range. Its status is open, on hold or closed.
Candidate
A person you might hire, with their name and contact details. Candidates exist independently of any opening, so someone who applied for one role can be considered for another without being re-entered.
Application
One candidate applying for one opening. It moves through the hiring pipeline and holds that application’s interviews and offers.
Interview
A scheduled conversation on an application, with a type, a date and time, a length, named interviewers and their feedback.
Offer
The terms offered on an application: compensation, currency, employment type, start date and an optional expiry date.

Who can use it#

Permissions

recruiting.viewrecruiting.manageemployee.manage
Viewing openings, candidates, applications, interviews, feedback and offers needs recruiting.view. Creating and changing any of them needs recruiting.manage. Hiring a candidate into an employee record also needs employee.manage. Leaving interview feedback is limited to the interviewers named on that interview.

Offer amounts follow recruiting permissions

Offer compensation and salary ranges on openings are visible to anyone with recruiting.view, which the built-in Member and Viewer roles include. Adjust your roles if that’s wider than you want.

Open Recruiting#

On the People page, click Recruiting. The button appears if your role includes recruiting.view. There’s no separate sidebar item, so if you can use recruiting but don’t see People in the sidebar, go to /app/people/recruiting in your browser.

Job openings#

Create an opening#

  1. Go to the Job openings tab

    It’s the first tab on the Recruiting page.
  2. Enter the title

    At the bottom, enter a Title (for example “Senior Backend Engineer”; up to 200 characters).
  3. Add the details you know

    Optionally choose a Department, Position, Hiring manager (an active member of your organization) and Location type (Onsite, Remote or Hybrid), and enter a Salary min and Salary max.
  4. Click Create opening

    The opening appears with an open badge. Salary ranges are shown in USD.

Put an opening on hold or close it#

Each opening shows buttons for the statuses it can move to. An open role shows Mark on hold and Mark closed. A role on hold shows Mark open and Mark closed. Closed openings have no buttons, and UnitX records when they were closed.

Candidates#

  1. Go to the Candidates tab

    Click Candidates.
  2. Enter the candidate

    At the bottom, enter First name and Last name (both required), and optionally Email, Phone and Source (for example “Referral”).
  3. Click Add candidate

    The candidate appears with their contact details and source.

To add or change notes on a candidate, click Add notes… (or the existing note) under their name, type, and click Save.

Applications and the pipeline#

Create an application#

  1. Go to the Applications tab

    Click Applications. Each application is listed as “Candidate → Opening” with its status.
  2. Pick the candidate and opening

    At the bottom, choose a Candidate… and a Job opening….
  3. Click Create application

    The application starts in the applied stage. Click it to open its detail page.

Move an application through the pipeline#

On the application’s page, choose a stage from Change status… and click Update status. The stages are:

You can move between the open stages in any order. Hired, rejected and withdrawn are final: once an application reaches one of them, the status control disappears. If a candidate comes back, create a new application.

Use Hire, not the Hired status

Setting the status to hired with Update status closes the application but doesn’t create an employee record, and afterwards the application can’t be used to hire. Use the Hire section instead (see below), which does both.

Interviews#

Schedule an interview#

  1. Open the application

    Go to the Applications tab and click the application.
  2. Fill in the interview

    In Interviews, enter a Type (for example “Technical screen”), Scheduled at (date and time), and optionally Minutes (at least 5; 30 if left blank), Location and Meeting URL.
  3. Choose interviewers

    Tick at least one member under Interviewers.
  4. Click Schedule interview

    The interview appears as “type · date and time” with a scheduled badge.

Click an interview to expand it and see its length, location, meeting link, interviewers and feedback. To record what happened, choose completed, cancelled or no show and click Update status.

Leave interview feedback#

If you’re one of the interviewers, the expanded interview shows a feedback form. Enter a Rating, a Recommendation, Strengths and Concerns (all optional), then click Submit feedback.

  • Only the interviewers named on the interview can leave feedback.
  • Each interviewer can submit feedback once, and it can’t be edited afterwards.
  • Ratings have no fixed scale; agree one with your hiring team.

Offers#

  1. Fill in the offer

    On the application’s page, under Offers, enter Compensation, Currency (USD if blank), Employment type (for example “full_time”), a Start date and an optional Expires date.
  2. Click Create offer

    The offer appears as a draft, for example “150000 USD · full_time · starts Oct 1, 2026”.
  3. Record what happens

    Use the buttons on the offer to record each step: Send when it goes to the candidate, then Accept or Reject when they answer. Withdraw is available while it’s a draft or sent.

Note

Offers are a record of what you offered and how the candidate responded. Send doesn’t email anything to the candidate, and accepting an offer doesn’t hire them.

Hire a candidate#

When you’re ready to employ the candidate, use the Hire section at the bottom of the application page. It’s shown to people with employee.manage while the application is still open.

  1. Enter the employee number

    Under Hire followed by the candidate’s name, enter an Employee number (for example “E-1042”). It must be unique.
  2. Optionally set the start date

    Pick a Start date (optional).
  3. Click Create employee record

    UnitX creates the employee record with the candidate’s name and contact details, marks the application hired in the same step, and opens the new record.

From there you can start onboarding and attach the signed offer letter under Documents. A hired application shows This application has been hired. Find the person under People.

  • An application that’s already hired, rejected or withdrawn can’t be used to hire.
  • You don’t need an accepted offer to hire, but recording one keeps the history complete.

Limitations#

  • There’s no careers page, job-board posting or candidate portal. Openings aren’t published anywhere.
  • Nothing is emailed to candidates. Offers and statuses are recorded, not sent.
  • Openings, candidates, applications, interviews and offers can’t be deleted, and openings and offers can’t be edited after they’re created.
  • Résumés and LinkedIn or portfolio links can’t be added from the screen yet.

FAQ#

Why can’t I leave interview feedback?
Only the interviewers named on that interview can, and only once each. Ask whoever scheduled it to schedule one that includes you.
I don’t see the Hire section.
It needs employee.manage, and it’s hidden once an application is rejected or withdrawn.
I marked an application hired by mistake. Can I reopen it?
No. Hired, rejected and withdrawn are final. Create a new application for the same candidate and opening, then hire from that.
Can a candidate apply to more than one opening?
Yes. Create one application per opening for the same candidate.
