Project views
Switch between List, Board, Table, Calendar, Timeline, Gantt and Workload, then filter, sort, group and choose columns.
A project can show its work items seven ways: List, Board, Table, Calendar, Timeline, Gantt and Workload. They are all the same work items drawn differently, so switching keeps your filter. Use a board to see what’s moving, a list to see what belongs to what, a table to change many things at once, and the date views to see what collides.
The seven views#
| View | Best for | Highlights |
|---|---|---|
| List | Seeing the hierarchy | Parents with their subtasks indented beneath, collapsible. Sort, columns, inline editing, export. |
| Board | Flow of work | One column per status, drag and drop, WIP limits, swimlanes. See Boards. |
| Table | Editing in bulk | Spreadsheet-style grid with grouping, resizable and pinned columns, keyboard navigation, row selection and bulk actions. |
| Calendar | What’s due when | Day, week or month grid. Drag to reschedule. See Calendar. |
| Timeline | Seeing work across weeks and months | Bars you can drag and resize, six zoom levels, grouping. |
| Gantt | Schedules with dependencies | The Timeline plus hierarchy, progress, milestones and dependency arrows. |
| Workload | Who is over capacity | Assigned effort compared with working hours, per person or per project. See Workload. |
Who can use it#
Permissions
work_item.viewwork_item.managesaved_view.managework_item.view can use every view, filter, sort, choose columns and export. Editing cells, dragging and bulk actions need work_item.manage. Saving the current setup into a saved view needs saved_view.manage.Switch views#
Select List, Board, Table, Calendar, Timeline, Gantt or Workload at the top left of the project. The view you pick is only remembered while the page is open. Reload or come back later and the project opens on its default saved view again, or on List if it has none. To keep a view, save it. See Saved views.
Use the saved view picker next to the switcher to apply a saved view. The project’s default is marked with ★ and a Project default label. Choose No saved view to go back to an unfiltered view.
Filter#
Select Filter
A panel opens. With no conditions, it reads “No filter — every item in scope is shown.”
Select Add condition
Choose a field, an operator and, if needed, a value.
Add more conditions if you need them
Conditions combine with AND. An item must match all of them. The button shows the count, for example Filter (2). Remove a condition with its × button.
The filter applies to whichever view you switch to. The fields you can filter on are:
| Field | Operators |
|---|---|
| Status, Priority, Type | is, is not |
| Assignee | is, is not, is empty, is set |
| Tag | is, is not, is empty, is set |
| Text search, Title | contains, does not contain |
| Due date | today, tomorrow, this week, next week, this month, overdue, before, after, is empty, is set |
| Start date | The same as Due date, except overdue |
| Created, Updated | today, this week, this month, before, after |
| Blocked, Has dependencies | is set, is empty |
Everyone looking at the same filter sees only the items their own permissions allow. A filter never reveals work you couldn’t otherwise see.
Sort (List and Table)#
Select Sort, choose a field and Asc or Desc, and select Add another level to sort by more than one field, for example priority descending, then due date ascending. The panel summarises your choice, and the button shows the number of levels. You can sort by Key, Title, Type, Status, Priority, Assignee, Start, Due, Estimate, Points and Updated. The List starts sorted by creation date, oldest first, and the Table by creation date, newest first. Sorting happens across all matching items, so paging through a long list stays in order.
Choose columns (List and Table)#
Select Columns (n) to choose which fields appear. Tick a column to show it, use the arrows to move it earlier or later, and use the pin icon to keep it in place while the rest scroll sideways. In the Table, drag the right edge of a header to change its width. Available columns are Key, Title, Type, Status, Priority, Assignee, Start, Due, Estimate, Points, Tags, Subtasks, Updated, and one column per custom field.
Your column choices are personal. They’re remembered in your browser for this view and don’t change anyone else’s screen. See Your columns and the view’s columns.
Group (Table, Timeline, Gantt)#
The Table’s grouping menu splits rows by Status, Assignee, Priority, Type, Sprint, Release or Tag. Each group heading shows a count, and you can click it to collapse the group. The Timeline and Gantt group by Status, Assignee, Priority, Sprint or Release. On a board, the same idea is called swimlanes. See Swimlanes.
Edit in place#
In List and Table views you can change the title, status, priority, assignee, start and due dates, estimate, points and custom field values directly in a row. A status change follows the project’s workflow rules, just like dragging a card, and is refused if the move isn’t allowed.
Table keyboard shortcuts#
- Arrow keys (↑ ↓ ← →) move between cells.
- Enter puts the cursor in the focused cell’s editor.
- Space selects or deselects the focused row.
Selecting rows opens the bulk action bar. See Change many items at once.
Large projects#
Views load items a page at a time. The List shows “n items loaded — more available” and a Load more button, and the Table shows Load more rows. A board column always shows the full count for the column, even when only the first cards are drawn, and tells you how many more there are.
The List builds its tree from the items that have loaded. A subtask whose parent hasn’t loaded yet, or is excluded by the filter, appears at the top level rather than disappearing.
Export#
Select Export to download what you’re looking at as a CSV file. In the List and Table the button sits next to Sort and Columns, and the file follows your columns, in your order, sorted the way the screen is. On the Board, Calendar, Timeline and Gantt it’s in the top bar, and the file contains the item’s standard fields ordered by creation date. Workload can’t be exported. Full details are in Exporting a view.

FAQ#
Why doesn’t clicking a Table header sort by that column?
I switched to Board and back, and my sort was reset.
Can I filter with OR?
Can I clear a field from a cell?
