Calendar, Timeline, Gantt and Workload
See work against dates, drag to reschedule, follow dependency arrows on the Gantt, and check who is over capacity in Workload.
Four project views put work in time. Calendar places items on days. Timeline draws them as bars you can drag and stretch. Gantt adds hierarchy, progress, milestones and dependency arrows. Workload compares the effort assigned to each person with the hours they have. A list tells you what exists. These views show what collides.
Only dated items appear#
Calendar, Timeline and Gantt only show items with a Start or Due date. An item with both is drawn across the days it spans, and an item with one sits on that day. Set dates on the item’s page or in the Start and Due columns of a List or Table. Each view loads the items whose dates fall inside the range on screen. An item that starts before the range and ends after it only appears once you widen the range enough to include one of its dates.
Who can use it#
Permissions
work_item.viewwork_item.managework_item.view can use these views. Dragging to reschedule needs work_item.manage.Calendar#
Switch the project to Calendar. It opens on the current month. Use day, week and month on the right to change the grid, and the arrows and Today on the left to move around.
- Each event shows the item’s key and title. Select it to open the item. On the later days of a multi-day item it shows “↳ title”.
- Finished items (Done category) are green. Blocked items have a red outline.
- In month view a day shows up to four items and then “+n more”. Switch to week or day to see them all.
- Drag an event to another day to move the item. Start and due dates move together, so a five-day task stays five days long. You can’t change an item’s length on the Calendar. Use the Timeline or Gantt for that.
Timeline#
Switch to Timeline. Item titles are listed on the left and bars on the right, against a date grid with a line marking today. Use the arrows and Today to move, and the zoom menu to show more or less time:
| Zoom | Roughly how much you see |
|---|---|
| Day | 2 weeks |
| Week (default) | 8 weeks |
| 2 weeks | 16 weeks |
| Month | 6 months |
| Quarter | 1 year |
| Year | 2 years |
The grouping menu (starts on No grouping) splits rows by Status, Assignee, Priority, Sprint or Release.
Reschedule by dragging#
Move an item
Drag the middle of a bar left or right. Start and due dates move by the same number of days.
Change how long it takes
Drag the left edge to change only the start date, or the right edge to change only the due date.
Bars for finished items are green, and blocked items get a red outline. Select a title on the left to open the item.
Gantt#
Gantt works like the Timeline (same zoom, grouping and dragging) and adds:
- Hierarchy: subtasks are indented under their parent when no grouping is chosen.
- Progress: a shaded portion of each bar shows how many subtasks are done. An item with no subtasks is shown as fully done once its status is in the Done category.
- Milestones: items of type Milestone are drawn as a diamond, not a bar.
- Dependency arrows: an arrow runs from an item to the one that depends on it, based on the dependencies set on the work items. See Dependencies.
Dependency conflicts#
If an item now starts before the item it depends on has finished, its bar and arrow turn red. A banner above the chart says how many conflicts the project has. When a drag of yours creates a conflict, a message names it and adds “Nothing else was moved.”
Nothing is rescheduled for you
Workload#
Workload shows one bar per person (or per project), comparing the effort assigned to them in a period with the hours they’re expected to work in it. It answers “can we take this on?” with numbers you can check.
Pick a period
The range menu offers Week, 2 weeks or Month. Use the arrows and This week to move. The header shows the dates and the number of working days.
Choose how to group
By person or By project.
Choose what counts as effort
Time estimate or Story points. With points, enter Hours per point to get percentages. Until you do, the bars show points assigned and no utilisation percentage.
Read the numbers
Each row shows hours assigned against capacity and a percentage, for example “30h / 40h · 75%”. Underneath is the whole calculation and the number of items. The bar is blue under capacity, amber when full and red when over. It stops at 100% wide, but the percentage beside it is the real figure.
- Only items with an assignee and a start or due date inside the period count, and they need an estimate (or points) to add effort.
- Capacity comes from each person’s resource profile, spread across Monday to Friday. Someone with no profile is assumed to work 40 hours a week, and their row says “capacity assumed”. See Resources and capacity.
- Public holidays and leave aren’t subtracted from capacity in this view.
