Sharing presentations

Create share links for a deck at one of three access levels, understand what each level means, and revoke links when you are done.

The Sharing panel on a deck records who a deck is meant for. Each link has one of three levels: people with access in UnitX, anyone in your organization, or anyone at all. You can revoke a link at any time. Because a public link can carry project and people data out of UnitX, creating one is written to your audit log.

The Sharing panel only appears for roles with presentation.share, which covers creating, listing and revoking links. Downloading a deck as PowerPoint or PDF to send it yourself needs presentation.export.

The three levels#

Who can open it	Badge	Meaning
Only people with access in UnitX	private	The normal permission check applies: only people whose role can view presentations can open the deck, signed in.
Anyone in this organization with the link	org	Intended for colleagues who are signed in to your organization.
Anyone at all with the link	public	Intended for people outside UnitX, with no sign-in. The panel shows the link’s address.

Create a link#

Open the deck
Go to Presentations and open the deck. The Sharing panel is under the slide editor.
Choose who can open it
Under Who can open it, pick one of the three levels. When you pick Anyone at all with the link, the panel warns that anyone who has it can read the deck and everything in it, including the project data on its slides.
Create it
Click Create link. The link is listed with a badge for its level. A public link also shows its address.

Public links don’t open a page yet

UnitX creates and records public links, and shows their address, but that address doesn’t yet open a read-only view of the deck. Until it does, send people outside UnitX an exported file: click PowerPoint or PDF on the deck. For colleagues, send the deck’s normal address in UnitX; they open it with their own access.

Revoke a link#

Click Revoke next to the link. It is removed from the list and stops working immediately. There is no grace period and no way to undo a revoke; create a new link if you need one again. Revoking is also recorded in the audit log.

Good practice#

Keep decks at Only people with access in UnitX unless the audience really is outside your organization.
Public links have no expiry and no password. Revoke them as soon as the audience is done, rather than relying on people forgetting them.
Before exporting or sharing a deck about a person or a team, check what is on its slides. A deck contains the data its builder could see.

FAQ#

Can I password-protect a link or give it an expiry date?

No. If a deck should only reach named people, keep it at Only people with access in UnitX and make sure those people have a role that can view presentations.

Why don’t I see the Sharing panel?

Your role doesn’t have presentation.share.

Where can I see who created a public link?

Creating and revoking links are recorded in the audit trail.
