Employee profiles
Everything on an employee record, section by section, and which controls appear for you, for managers and on your own record.
An employee profile is the full HR record for one person. It brings together their employment details, onboarding and offboarding, timesheets, leave, documents, skills, work schedule, attendance, performance and pay on a single page. What you can see and do in each section depends on your permissions and on whether it’s your own record.
Open a profile#
Go to People and click a name, or click a linked name on the Org chart. To find your own record, look for your name in the list.
Permissions
employee.view_sensitiveemployee.view_sensitive. Individual sections need further permissions, listed below. The header#
At the top of the profile you’ll see:
- The person’s name (their preferred name if one is set) and an employment status badge, such as active or suspended.
- Their employee number, work email and employment type, for example “EV-0002 · priya@… · full time”.
- Their position, department and location, when these are set.
If you have employee.manage, the status actions Suspend, Record departure and Reinstate appear below the header, depending on the current status. See suspensions and departures.
Sections on the profile#
The profile is one long page rather than a set of tabs. Scroll down to reach each section. They appear in this order:
| Section | What it holds | When it’s shown |
|---|---|---|
| Onboarding | Onboarding processes and their task checklists | Always |
| Offboarding | Departure processes, last working day and checklist | Always. Only people who can manage employees see the form. |
| Timesheets | Timesheet periods, their time entries and approval status | On your own record, or if you can manage employees |
| Leave | Leave balances and requests, and the request form on your own record | On your own record, or if you can manage employees |
| Documents | Offer letters, contracts and other HR files | If you can manage employees, or the person has documents |
| Skills | Skills with proficiency and years of experience | If you can manage employees, or the person has skills |
| Work schedule | Schedule assignments, with the active one marked | If you can manage employees, or the person has an assignment |
| Attendance | Daily clock-in and clock-out records and corrections | On your own record, if you can manage employees, or when records exist |
| Performance goals | Goals with metric, target and current value | On your own record, if you can manage employees, or when goals exist |
| Performance reviews | Formal reviews by period and reviewer | If you can manage employees, or reviews exist |
| Feedback | Ad hoc feedback notes you’re allowed to read | If you can manage employees, or there’s feedback you can see |
| Compensation | Pay arrangements over time | Only with payroll.view |
Extra controls on your own record#
When the profile is linked to your login, it also shows the self-service controls. These need employee.self_service:
- Clock in / Clock out and Request correction in Attendance
- New timesheet, Log time and Submit in Timesheets
- The leave request form, with Request, Submit and Cancel
- Update, Mark complete and Cancel on your performance goals
Extra controls for managers and HR#
With employee.manage, other people’s profiles show approval and administration controls: Approve and Reject for pending leave and submitted timesheets, Lock for approved timesheets, review buttons for attendance corrections, and the forms for documents, skills, schedule assignments, goals, reviews and feedback.
Details can’t be edited on the profile
