Attendance

Clock in and out from your employee record, request a correction when a time is wrong, and review corrections for your team.

Attendance records when you start and finish work each day. You clock in and out from your own employee record. Nobody can edit a saved time directly, so a wrong time is fixed through a correction request that someone else reviews, and that request stays as the record of the change.

Key concepts#

Attendance record
One record per person per day, with a clock-in time, a clock-out time, the total hours worked and a status.
Correction
A request to change the clock-in and/or clock-out time on one of your records, with a reason. It stays pending until someone approves or rejects it.

Clocking in, clocking out and requesting corrections to your own records needs employee.self_service and an employee record linked to your account. Viewing other people’s attendance needs employee.view_sensitive. Approving or rejecting corrections needs employee.manage.

Where to find it#

Attendance is a section on each employee record. Go to People, click a name, and scroll to Attendance. Each day shows the date, the clock-in and clock-out times, the hours worked (for example “8.2h”) and a status badge. The Clock in and Clock out buttons appear only on your own record.

Clock in and out#

  1. Open your own employee record

    Go to People and click your name.
  2. Click Clock in

    In the Attendance section, click Clock in. UnitX creates today’s record with the current time and the status present. The button changes to Clock out.
  3. Click Clock out when you finish

    UnitX records the time and works out the total for the day.

The times are always the moment you click. You can’t type a time in.

  • You can’t clock in twice without clocking out in between.
  • You can’t clock out if you haven’t clocked in today, or if you’ve already clocked out.

Clocking in again replaces the day

There is one attendance record per day. If you clock out and then click Clock in again on the same day, the day’s record starts over: the new clock-in time replaces the earlier one and the clock-out time is cleared. If you only meant to fix a time, request a correction instead.

Days follow UTC

The day a record belongs to is the calendar date in UTC. If you work late in the evening in a time zone behind UTC, or early in the morning ahead of it, your clock-in may land on the next or previous date.

Request a correction#

  1. Find the day on your own record

    In the Attendance section, find the record that’s wrong.
  2. Click Request correction

    A dialog titled Request a correction for the date opens.
  3. Explain and propose times

    Enter a Reason (required). Then fill in Proposed clock-in and/or Proposed clock-out. You can leave either blank to keep the current time.
  4. Click Request correction

    The record now shows a Pending correction note with your reason and proposed times. While it’s pending, you can’t raise another correction for the same day.

You can only request corrections for records that already exist. There’s no way to create an attendance record for a day you forgot to clock in.

Review a correction#

  1. Open the employee’s record

    Go to People, click the person, and scroll to Attendance. Days with a pending correction show it highlighted.
  2. Approve or reject

    Approve writes the proposed times onto the record and recalculates the hours. Any time left blank in the request stays as it was. Reject leaves the record unchanged.

Either way, the correction is kept with who reviewed it and when. A correction that has been reviewed can’t be reviewed again.

Attendance statuses#

A record can carry one of these statuses: present, absent, late, half day, holiday or leave. Clocking in always sets present. The other statuses can’t be set from the screen.

Limitations#

  • Nothing clocks anyone in automatically. There’s no device, badge or location check.
  • Attendance doesn’t check against work schedules, holidays or approved leave, and it doesn’t feed into timesheets or payroll.
  • HR attendance is separate from the time tracking timer, which records time against work.

FAQ#

Why can’t I just edit yesterday’s time?
So the record can’t silently say whatever the last person to edit it wanted. A correction takes longer, but it leaves a trail of who asked, why, and who approved it.
I don’t see Clock in on someone else’s record.
That’s expected. You can only clock in and out for yourself, from your own record.
I get “No Employee record is linked to your account”.
Self-service attendance needs your login to be linked to an employee record. Ask an HR administrator to link it.
