Members and invitations
Invite people with a starting role, revoke pending invitations, change roles, and sign out, suspend or remove members.
Members are the people who belong to your organization. From the Members tab you invite new people with the role they should start with, change roles as jobs change, and cut off access — for a moment, for a while, or for good — when someone leaves or something looks wrong.
Key concepts#
- Member
- A person with a membership in this organization. One UnitX account can be a member of several organizations, with a different role in each.
- Invitation
- A pending offer of membership for one email address, with the role the person will start with. It lasts 7 days.
- Active
- The member can work in the organization as their role allows.
- Suspended
- The member keeps their membership and history but cannot reach the organization until reactivated.
Who can do what#
Permissions
member.viewinvitation.createinvitation.viewinvitation.revokemember.manage_rolesmember.removemember.view shows the list. invitation.create sends invitations, invitation.view lists pending ones and invitation.revoke cancels them. member.manage_roles changes a member’s role. member.remove covers all three ways of ending access: signing someone out, suspending them and removing them. Organization Owner and Organization Admin hold all of these by default.Invite someone#
Open the Members tab
Go to SettingsMembers and choose Invite member.Enter their email address
In Invite a member, type the address they will sign in with. The invitation is tied to that address.Choose a role
Pick the role they should start with. You can change it at any time later.Choose Send invitation
You see Invitation sent, and the address appears under Pending invitations with its role.
To invite a contractor or client who should only see one workspace, switch on Outside your organization in the same dialog. See External collaborators.
When the invitation is accepted#
- The invitation can only be accepted by someone signed in with the invited email address. Anyone else is told the invitation was issued to a different address.
- It expires 7 days after it was created. After that it can no longer be accepted — send a new one.
- Accepting uses a seat on your plan. If the plan has no seats left, acceptance is refused until seats are added in Billing.
- Someone who already has a UnitX account simply gains a membership in your organization; their other organizations are unaffected.
Resend or cancel an invitation#
Pending invitations are listed under the members table, each with a Revoke button. Revoking cancels the invitation immediately. There is no separate resend button: to send an invitation again — for example with a different role, or after it expired — revoke the old one and invite the person again.
Change a member’s role#
Open the role picker in the member’s Role column and choose the new role. It takes effect on their next request, and you see Role updated.

Ending someone’s access#
Three buttons sit at the end of each row. They are the same decision at three different lengths, and all need member.remove.

Sign someone out#
Choose Sign out and confirm. Because a UnitX session is not tied to one organization, this signs them out everywhere — including any other organizations they belong to. The confirmation tells you how many devices were signed out, or that they had nothing signed in. Use it when a laptop is lost, or alongside a suspension when someone leaves.
Suspend and reactivate#
Choose Suspend
Their status changes to Suspended and you see Member suspended — their API keys for this organization have been revoked.Choose Reactivate when they return
They get back in with the same role they had. Keys revoked by the suspension stay revoked — they create new ones if they need them.
Suspension suits someone on leave, a contract that is paused, or an account you are investigating: access stops now and can resume later without losing anything.
Note
Remove a member#
Choose Remove. The membership ends immediately and you see Member removed. Everything the person did — work items, comments, history — stays where it is.

What you see in the list#
- (you)
- Marks your own row. The Suspend button is disabled on it.
- Email hidden by your organization’s policy
- Shown instead of an address when your organization has restricted who may read member emails and you do not hold that permission. The address exists; you are not allowed to see it. See data classification.
- Active / Suspended
- The member’s status in this organization.
What is recorded#
Invitations, role changes, suspensions, reactivations and removals are recorded in the audit trail, including how many API keys a suspension revoked. A forced sign-out and a suspension also appear in the person’s own security history, with the administrator named.
“A pending invitation already exists for this email”
There is already an open invitation for that address. Revoke it under Pending invitations, then invite again.
“This email is already an active member of the organization”
The person is already in. Change their role in the Role column instead of inviting them.
Does suspending someone affect their other organizations?
No. Suspension and removal apply to this organization only. Sign out is the one action that reaches every organization, because sessions are shared.
