Onboarding and offboarding

Track a new joiner’s first tasks and a leaver’s departure checklist on their employee record.

Onboarding and offboarding give each arrival and departure a checklist. You open a process on the person’s employee record, add the tasks that need doing, and tick them off as they’re done, so questions like “did anyone order the laptop?” or “was their access revoked?” have a recorded answer.

Who can use it#

Starting, completing and adding tasks to onboarding and offboarding, and ticking tasks off on the employee record, needs employee.manage. Both sections live on the employee record, and opening a record needs employee.view_sensitive.

Onboarding#

An onboarding process tracks a new joiner’s first tasks, such as setting up accounts, ordering equipment or booking introductions. It starts as in progress and ends when you mark it complete.

Start onboarding#

  1. Open the new joiner’s record

    Go to People and click their name. If you’ve just hired someone from Recruiting, UnitX takes you straight to their new record.
  2. Click Start onboarding

    In the Onboarding section, click Start onboarding. A new process appears with an in progress badge.
  3. Add tasks

    Type a task into Add a task… and click Add. Repeat for each task.

Note

Every click on Start onboarding starts another process, so click it once per new joiner.

Tick off tasks and finish#

  • Click a task to mark it done. It gets a check mark and is struck through, and UnitX records who completed it and when. A completed task can’t be un-ticked.
  • When the new joiner is settled, click Mark complete on the process. Its badge changes to completed. You don’t have to tick every task first.

Offboarding#

An offboarding process records an agreed departure: an optional reason, the last working day, and a checklist of what has to happen before the person leaves. Until one is opened, the section reads Nobody is leaving.

Open offboarding#

  1. Open the leaver’s record

    Go to People and click their name.
  2. Fill in the departure

    At the bottom of the Offboarding section, optionally enter a Reason (optional), such as “Resignation”, and a Last working day.
  3. Click Open offboarding

    The process appears with an in progress badge and, if you set one, the last day.
  4. Build the checklist

    Click any of the suggested tasks to add it, or type your own into Add a task… and click Add.

Suggested offboarding tasks#

UnitX suggests seven common tasks as buttons. None of them are added automatically, and each button disappears once that task is on the list:

  • Disable account
  • Recover equipment
  • Transfer ownership of work
  • Revoke API access
  • Exit interview
  • Final payroll
  • Archive records

Click a task to mark it done, and click Mark complete when the departure is finished. Once an offboarding is completed you can’t add more tasks to it.

Offboarding doesn’t change anything by itself

Ticking Disable account or Revoke API access records that the job was done; it doesn’t do it. Suspend the person’s membership under Members and revoke keys under service accounts and API keys. Likewise, opening offboarding doesn’t change the person’s employment status. Use Record departure on their record for that (see suspensions and departures).

Automating around arrivals and departures#

Recording a departure doesn’t open an offboarding for you. Starting onboarding, completing a task, opening offboarding and recording a departure are all events that automations can react to. For example, you could notify IT whenever an offboarding is opened.

Limitations#

  • Tasks can’t be given an assignee or due date from the employee record, and they can’t be edited or deleted once added.
  • There are no onboarding templates yet. Tasks are added by hand for each process.
  • Processes can’t be cancelled or deleted from the screen.

FAQ#

I clicked Start onboarding and got an error.
Starting onboarding needs the employee.manage permission. The button is shown on every record you can open, but only people who can manage employees can use it.
Can the new joiner tick off their own tasks?
Not from the employee record today. Ticking tasks off there needs employee.manage.
Does recording a departure open offboarding?
No. They’re separate on purpose, so you decide the order. Many teams open offboarding when the departure is agreed and record the departure on the last day.
